ACCOUNTS PAYABLE ASSOCIATE

REPORTS TO:  ACCOUNING PAYABLE MANAGER

LOCATION:  NORTH LAS VEGAS, NV 

JOB TYPE: FULL-TIME 

 ABOUT THE ROLE

JOB PURPOSE: Responsible for accurate and timely processing of Accounts Payable and related recordkeeping providing support to the accounting management and other department team members.

EMPLOYMENT STATUS: Non-Exempt     

MAJOR RESPONSIBILITIES/TASKS

  • Review all invoices for appropriate documentation and approval prior to payment.
  • Perform 3-way match to prepare purchase order related payments.
  • Process non-purchase order related payments.
  • Process and provide positive pay summary to the bank.
  • Petty cash management.
  • Prioritize invoices according to available cash discounts and payment terms.
  • Input and process check requests.
  • Record stop payments.
  • Prepare electronic wires.
  • Journalize business credit card activity.
  • Match invoices to checks, obtain all signatures for checks and distribute checks accordingly.
  • 1099 maintenance and filing.
  • Respond to all vendor inquiries.
  • Record expense accruals journal entries.
  • Reconcile vendor statements; research and correct discrepancies.
  • Reconcile disbursement related balance sheet accounts, as assigned.
  • Assist in month end closing.
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted record retention practices.
  • Assist with other projects as needed as directed by the assistant controller.
  • General understanding of expense coding through utilization of a chart of accounts.
 ABOUT YOU

PRINCIPAL ACCOUNTABILITIES

  • Ability to use standard office equipment, computer software and Microsoft Office.
  • Maintain a clean and safe work area.
  • Must be organized and possess high level of administration ability to effectively manage paperwork.
  • Ability to multi-task in a fast-paced environment.
  • Ability to solve practical problems and deal with a variety of changing situations.
  • Perform additional duties as needed

 

EDUCATIONAL AND WORK EXPERIENCE:

  • 3+ years of general accounting/bookkeeping
  • Ability to handle distractions with efficient return to task
  • Natural inclination for details
  • Ability to comply with procedures, rules and policies
  • Pre-employment drug screen/background check

MINIMUM REQUIREMENTS

  • Must be a U.S. Citizen or Permanent Resident
  • Ability to sit a long period of time.
  • Strong work ethic, punctuality and dependability.
  • Ability to work independently with minimal supervision or as a strong team member.  

CHARACTERISTICS AND ABILITIES:

  • An energetic and individual with a positive, “can-do” attitude.
  • Self-motivated with sense of urgency.
  • Enthusiasm for learning new programs and tasks.
  • Ability to speak multiple languages is not required; but is a plus.
